Register of electors

The register of electors is a list of the names and addresses of everyone who is registered to vote.

Each year, monthly registration takes place from January to September, and a canvass of all properties takes place from September to December. A register is then published on the 1 December.

The table below shows the monthly alterations to the Register since the publication of the Revised Register of Electors on 1 December 2009.

Amendment shows the number of electors that we have made an amendment to the way their name appears in the Register, either because we previously had their name or date of birth incorrectly listed or they have changed their name by marriage or by deed poll.

Deletions show the number of electors removed from the register because the electors have moved, are deceased or were incorrectly entered onto the Register.

Additions show the number of new electors added to the register because they have recently moved into the property or were not included in the Revised Register on 1st December 2009.

The two versions of the register
The electoral registration officer makes and keeps two versions of the electoral register – the full register and the edited register.

What are the ‘full’ and ‘edited’ registers?
The full register lists the name and address of everyone who is registered to vote. The council holds a copy. Anyone can look at it, but it is a criminal offence to supply or use copies for purposes other than those set down in law. You can find more information on www.aboutmyvote.co.uk

The main use of the full register is to show who can vote in elections and referendums. Credit reference agencies can use it, but only to check your name and address if you are applying for credit and for other purposes specified in law. It can also be used for law enforcement.

The edited register is available for general sale and can be used for any purpose. The edited register can be bought by any person, company or organisation and can be used for commercial activities such as marketing.

Please note that in accordance with the Representation of the People (England and Wales) (Amendment) Regulations 2002, the following rules apply to persons inspecting the Register of Electors

  • The register is open to public inspection, under supervision

  • Extracts from the register may be recorded only by making hand written notes. Photocopying or electronic recording are not permitted by law
  • Information taken from the Register must not be used for direct marketing purposes (as per section 11(3) of the Data Protection Act 1998), unless the information has been published in the edited version of the register.

Under these regulations anyone who fails to observe these conditions is committing a criminal offence. The penalty is a fine of up £5000.

Buying the register of electors
Only the edited register is available for general sale, in whole or in part, and can be used for any purpose.

The total cost of the edited register (for all wards) is £1555 on paper and £486.50 in data format.

Prices are calculated as follows

In paper form - £10 admin fee plus £5 per 1000 entries in the Register
In data form - £20 admin fee plus £1.50 per 1000 entries in the Register
